Project Details
Overview
I developed an automated marketing infrastructure for Mahnega Clinic. The project spanned across two branches in Tehran and Dubai to modernize their patient acquisition process.
I aimed to create a reliable system that bridged the gap between online advertising and clinic operations. This helped the staff manage appointments more effectively without losing potential patient data.
I managed this project as a long-term initiative to ensure consistent growth. My focus was on building a sustainable bridge between marketing channels and internal database workflows.
The Problem
The clinic struggled with fragmented lead generation and inefficient data handling. After multiple attempts with different marketing agencies, they were not reaching their conversion goals.
Despite high spending on advertising, the actual conversion into booked appointments remained low. They lacked a centralized system to capture, organize, and follow up with interested patients.
Communication between the ad platforms and the clinic's internal staff was inconsistent. This led to missed opportunities and wasted marketing budget.
My Approach
I began by analyzing the clinic's existing ad performance and identifying gaps in their current workflow. My priority was to establish a direct pipeline from advertising platforms to their internal database.
I designed a structured data flow that allowed incoming leads from Google and Instagram to populate their CRM automatically. This removed the manual burden of copy-pasting data.
I coordinated with the clinic's operations team to ensure the automation matched their day-to-day administrative needs. This collaboration ensured that my system actually supported their existing booking process.
The Solution
I implemented a unified tracking system that integrated Google Ads and Instagram with their clinic database. Leads generated from these channels were immediately synced into the clinic's management dashboard.
I created a custom application interface for their office staff. This allowed them to receive and follow up on leads through an organized dashboard instead of scattered messages.
I established an automated follow-up protocol. Once a lead entered the system, the staff received notifications, and the clinic's CRM tracked every stage of the patient interaction.
Technical Stack
- Google Ads for lead generation campaigns
- Instagram Ads and influencer marketing channels
- Custom database API integrations
- Internal clinic management dashboard
- Automation middleware for data synchronization
Results & Impact
I significantly improved the lead-to-patient conversion rate by streamlining the handoff from digital ads to the clinic staff. The staff spent less time on data entry and more time on patient care.
Marketing efforts became measurable for the first time. I provided the clinic with clear visibility into which channels actually delivered patients rather than just clicks.
By automating the initial lead intake, I ensured that no patient inquiries were left unanswered. This increased the clinic's reliability and reputation among their clientele.
Key Takeaways
- Centralizing data flow from multiple ad sources significantly boosts team productivity.
- Automation should always aim to reduce manual errors rather than just increasing lead volume.
- A long-term technical strategy produces much better results than short-term ad optimization.
