Self-hosted CRM for an EU team

SuiteCRM on a server you choose, for 5–20 people who want the database in a region they picked. Cloud CRM stays the right call when nobody will look after that server.

Self-hosted CRM for an EU team means SuiteCRM on a server you choose, usually for 5–20 people. You hold the database. The software has no per-user license. I implement that in English, remotely. EU hosting is a decision in the scope. It is not a claim that I run a data centre in the Netherlands.

European buyers ask this for two reasons that get tangled. One is the seat invoice from Salesforce, HubSpot, or Zoho. The other is GDPR: who is the processor, and in which country the records sit. Those are different questions. A cheap cloud CRM in a region you accept can be the compliant choice. An unpatched SuiteCRM on a bargain VPS is not “more European” because the marketing page said EU.

The choice, before the product names

The longer 10-person comparison is SuiteCRM vs Salesforce. If you are still deciding whether you need a CRM at all, start with the best self-hosted CRM for a small business in 2026.

A meeting table with a notebook on one side and a small server on the other
The real fork is not a feature list. It is a rented login on one side and a server someone must own on the other.

What “EU” changes, and what it does not

Putting the server in the EU can support a story you need to tell customers and a regulator: the CRM database is not in a region you never agreed to. That is useful for a Dutch BV, a Belgian team, or a German office that is tired of clicking through a vendor’s subprocessor list.

It does not finish the GDPR file. You still need a reason to hold the contacts, a way to export or delete a person, limited logins, backups that are actually tested, and a patch habit. I will include those in a scope. I will not stamp a page “GDPR compliant” because the IP address is European.

Teams in the Netherlands usually find this page in English, which is how they also search SuiteCRM, HubSpot, and n8n. The pages on this site stay in English. If you need the contract and the admin screens in Dutch, say so in the first email. Do not assume the interface is translated because the company is Dutch.

What gets installed

SuiteCRM alone, when the CRM is the only job. Or SuiteCRM next to Mailcow, Mautic, Nextcloud, and n8n when the seat bill is email, files, campaigns, and automation as well as the pipeline. The second one is a stack, not a plugin. Price that stack on the SaaS cost calculator before you ask me to build it. A euro reading of the USD total, with the rate labelled as a sketch, is on how to calculate SaaS pricing.

A single workflow that leaves HubSpot in place is not this page. That is an n8n consultant engagement. Mixing the two is how a CRM project quietly becomes “also fix the Telegram bot”.

Cost shape for about ten people

I will not print a euro total here and call it your quote. List prices for Salesforce and HubSpot move, and your discount is not my discount. The shape is stable enough to decide whether a conversation is worth it.

  • Cloud CRM: a seat or a tier, every month, for as long as the team uses it. Read-only users sometimes still cost money. That is the part that hurts at fifteen people.
  • SuiteCRM software: no per-user license. The costs are the server, backups, and the hours to install, migrate, and patch.
  • My work: a scoped install and handover, not a per-seat subscription from me.

If nobody in the company will notice when the server is down, the cloud seat is cheaper than a crisis. I would rather say that in the first call than after the records are halfway moved.

Migration, in the order that does not lose the pipeline

Contacts and companies first, then open deals, then the activities people actually read. History that nobody opens can wait. Email logging and marketing automation are separate decisions. Mautic does not have to move on day one just because the CRM did.

I map fields before I import. A rushed CSV load is how you discover that “status” meant four different things in the old tool. The team keeps using the old CRM until a named group has worked a real week in SuiteCRM. Parallel running is dull. It is also how you avoid a Monday with no pipeline.

Who should not self-host

Do not self-host if the company has no one who can take a backup restore seriously, if the CRM must be a polished marketing suite next month, or if leadership wants the vendor’s name on the security questionnaire and will not read yours. HubSpot or Zoho will be the faster honest answer. The HubSpot alternative page is for the opposite case: the seats are the problem, and the server has an owner.

Affordable hosted SuiteCRM, and customized hosted SuiteCRM

People search affordable hosted SuiteCRM and customized hosted SuiteCRM when they want SuiteCRM without running the server themselves. I do not sell a shared hosting plan with a public monthly price. The affordable shape is the software license, which has no per-user fee, plus a server you already pay for or a small VPS you choose. Customized means the fields, pipeline, and import mapped to how your team already sells. It is not a second product name.

If you want me to install it and hand over the box, that is this page. If you want a vendor to host a generic SuiteCRM and bill every month, say that in the first email. I will tell you whether that is still my work or a host you should buy directly.

Frequently asked questions

What is a self-hosted CRM for an EU team?

SuiteCRM running on a server you choose, often in the EU, for a team of about 5 to 20 people. You hold the database. There is no per-user software license.

Does self-hosted mean the server is in the Netherlands?

Only if you place it there. EU hosting is a scope choice. I do not operate a Dutch data centre, and I will not pretend the box is in Amsterdam.

How does this compare with Salesforce for 10 people?

Salesforce bills per user and holds the database. SuiteCRM has no per-user license and the database sits on your server. Salesforce is simpler when nobody on the team will look after that server. The longer table is on the SuiteCRM vs Salesforce page.

Is self-hosted CRM automatically GDPR compliant?

No. Owning the server lets you choose the region and the processors. You still need a lawful basis, access control, backups, and a person who patches the system. Location is not compliance.

When should an EU team stay on HubSpot or Zoho?

Stay when the monthly seat bill is acceptable and you want the vendor to run the product. Move when the seat invoice is the problem and someone will own the server after go-live.

What is affordable hosted SuiteCRM?

SuiteCRM with no per-user license, on a server you choose and pay for. I do not publish a shared-hosting monthly price. The cost is the server plus a scoped install, not a seat.

What is customized hosted SuiteCRM?

The same SuiteCRM, with your pipeline stages, fields, and import mapped before go-live. Customized is the scope of the install, not a different product.
